How to Sort the Sorted List?
Learn Excel, SortingHi there,
Have you come across how to sort the list which is ALREADY sorted? which means sorting the list which has sorted, understood, right? This was learnt in my recent training sessions conducted in Bangalore, India. So, eager to tell you. Here we go:
WHAT IS A SORT?
A simple Sort is nothing but arranging the data in a alphabetical order, say A to Z (the word starts with A will list first, if not A then check for B and list's as first and it proceeds) or Z to A. Otherwise it takes the numbers to sort depends on the weight of the number.
First, Download Working file from here.
HOW TO DO AN ADVANCED SORT?
This is a very nice technique to learn.
First, select the data which needs to sort and goto DATA ribbon and click on SORT in Sort & Filter Group.
...
From the above window, before you sort make sure you check mark the "My data has headers" option. This option will make sure the headers remain there as headers in the sort list.
Use sort by to sort per your requirement. Click on Add Level to add multiple sorting, say first you sorted by name and then by ID and then by designation for the data we have here.
Click OK to see the changes in the sort.
NOW, ITS TIME TO SORT THE SORTED LIST, HOW?
Here in the above raw data file we have designation colored in different colors. So, to sort the designation in terms of colors what we need to do is:
Firstly, click on "Copy Level" for designation by keeping designation row active and click on SORT ON using CELL COLOR. In ORDER, select the colors per your requirement and choose if you need it on TOP or BOTTOM.
To sort another color, click on "Copy Level" again and select another color to list in the second place and so on...
Now, are you able to sort the sorted list using colors? This can be done using "Font Color", "Cell Icon" also.
That's it, Magic Works!!!
DO YOU SORT?
